Job Summary

The Purchase Associate is responsible for assisting in the procurement process, ensuring that our organization maintains a steady supply of quality goods and services necessary for operational effectiveness. 

Key Responsibilities

  • Creating purchase orders, and other relevant documents accurately and in a timely manner.

  • Maintain effective communication with suppliers to track order status, resolve any discrepancies, and address potential issues.

  • Maintain accurate databases and up-to-date records of invoices, purchase orders, Stock levels and other paperwork.

  • Collaborate with internal departments to determine purchasing needs and specifications and ensure the purchase is done at the right time and delivered to the client department /Institution.

  • Procurement & Purchasing:

    • Negotiating contracts with suppliers and vendors and managing inventory levels and coordinating with suppliers for timely deliveries. 

    • Identifying cost-effective sources of goods and services and developing and implementing purchasing strategies. 

    • Ensuring quality of procured items and addressing problems. 

  • Vendor Management:

    • identifying and building contacts of vendors of various items.

    • Evaluating vendors based on quality, timeliness, and price by doing vendor analysis 

  • Record Keeping & Analysis:

    • Maintaining accurate records of purchases, pricing, and other important data. 

    • Analyzing purchase data to identify trends and areas for improvement. 

    • Leading and managing a team of suppliers and buyers. 

    • Coordinating with fellow managers to monitor inventory and determine supply needs. 

  • Cost Savings:
    "Reduced procurement costs by X% through strategic vendor negotiations and contract optimization".

Desired Candidate Profile 

  • Bachelor's degree in Bcom, business administration,  materials management.

  • Minimum of 2 years of experience in procurement or purchasing role.

  • Basic understanding of purchase concepts and Inventory management.

  • Strong Interpersonal and  negotiation skills with the ability to assess and interpret data.

  • Proficient in using procurement software and Microsoft Office Suite.

  • Knowledge of market research and supplier evaluation techniques.
